Job Title: Payroll Manager

Overview: We are seeking a meticulous and experienced Payroll Manager to oversee all aspects of payroll operations within our organization. The Payroll Manager will be responsible for ensuring accurate and timely processing of payroll, compliance with relevant regulations, and implementation of best practices. This role requires strong organizational skills, attention to detail, and the ability to effectively communicate with both internal stakeholders and external vendors.

Key Responsibilities:

  1. Payroll Processing: Manage the end-to-end payroll process including data entry, calculation of wages, benefits, taxes, and deductions, ensuring accuracy and compliance with company policies and regulatory requirements.
  2. Compliance: Stay abreast of federal, state, and local payroll laws and regulations, ensuring compliance in all payroll-related activities. File payroll tax returns and other related documents accurately and timely.
  3. Systems Management: Utilize payroll software to maintain employee records, process payroll transactions, and generate reports. Implement improvements to streamline processes and enhance efficiency.
  4. Auditing and Reporting: Conduct regular audits of payroll data to identify and rectify discrepancies. Generate various payroll reports for management and regulatory purposes.
  5. Employee Support: Address payroll-related inquiries from employees regarding wages, deductions, taxes, and other payroll matters. Provide guidance and support to resolve issues effectively.
  6. Vendor Management: Liaise with external vendors such as benefits providers, tax authorities, and payroll service providers to ensure seamless payroll operations and resolve any issues.
  7. Policy Development: Assist in the development and implementation of payroll policies, procedures, and controls to maintain accuracy, consistency, and compliance.
  8. Training and Development: Train new employees and managers on payroll processes, policies, and systems. Provide ongoing support and education to ensure understanding and adherence to payroll practices.
  9. Collaboration: Work closely with HR, Finance, and other departments to ensure alignment of payroll activities with overall business objectives and processes.
  10. Continuous Improvement: Identify opportunities for process improvements, automation, and cost savings in payroll operations. Drive initiatives to enhance efficiency and effectiveness.

Qualifications:

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • In-depth knowledge of payroll regulations, tax laws, and compliance requirements.
  • Proficiency in payroll software and MS Office applications, particularly Excel.
  • Strong analytical and problem-solving skills with keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced environment.
  • High level of integrity and professionalism in handling confidential information.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;
  • other business and organizational needs.

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
