The Admissions Director at Naukeag is responsible for managing all aspects of the inquiry and admission process. In collaboration with the Program Director and Medical Director, the Admissions Director is accountable for maintaining the required census to successfully deliver clinical services to the individuals requiring this level of treatment. The Admissions Director is also responsible for managing the program's existing referrer base and actively working to expand it. The Admissions Director will conduct insurance authorization reviews at admission and will play an active role in communicating utilization review tasks with members of the multidisciplinary treatment team, e.g., therapists/case managers. In addition, the admissions director will train and supervise the admissions coordinator(s). The Admissions Director reports to the Naukeag Program Director.

Principal Duties and Responsibilities

Specific Responsibilities/Tasks

1. 1. Responsible for the admission process. Able to make independent clinical decisions as to whether patients are appropriate for admission to the program and, if there is a question related to the appropriateness of the admission, review these decisions with the Program Director and Medical Director prior to setting the admission date.

2. Oversees all inquiries regarding admission, including those from prospective patients, family members, and other referral sources.

3. Oversees collection of all relevant clinical information (verbal and written) to determine appropriateness for admission. If the referral is appropriate for admission, the admission is scheduled. Notifies patient accounts that the admission is scheduled and informs the patient/family to contact patient accounts prior to admission. Reviews all new admissions in team meetings.

4. Gathers and reviews medical history documentation with the Medical Director and the Nurse Manager

5. Performs all duties related to managing the admissions process outlined above in a professional, thoughtful, courteous manner, reflecting the high degree of clinical sophistication that McLean Hospital is synonymous with.

6. Acts as program liaison and develops collaborative relationships with programs that also serve the patient population. This includes reaching out and traveling, when indicated, to the Belmont campus to meet with referring units and clinics. It also includes the development of relationships with local referrers.

7. Registers with contracted insurance carriers and completes initial authorizations for incoming admissions. Communicate needed utilization review information to the Clinical Team Manager.

8. Identifies unique marketing opportunities to promote the program and McLean Hospital.

9. Provides backup coverage to Program Clinical Team Managers as well as Program Director when needed.

10. In person unless otherwise arranged and approved by program leadership. Located in Petersham, MA.


Training

11. Coordinates the development of annual training for designated staff as per requirements from regulatory and licensing agencies.

12. Participate in training to update skills.

Personnel

13. Coordinates the selection of admission coordinator(s); ensures completion of initial orientation for new employees through an orientation checklist.

14. Integrates McLean employee practices with supervision practices. Monitors administration of appropriate personnel procedures.

15. Works with program leadership and Human Resources to conduct employee disciplinary actions.

Qualifications Qualifications

Education:

Master's Degree in Social Work, Psychology, Human Services, or Nursing required. Independent licensure preferred.

Skills/Abilities/Proficiencies

Good clinical skills, managerial skills, and ability to work independently. Must possess a range of individual and group therapy skills, have experience with the population to be worked with, and be familiar with current scientific advances in the field.

Ability to communicate with supervisors, peers, and patients. Ability to assess/evaluate behaviors and situations, engage with staff, clients, executives, and representatives of external agencies. Must have clinical expertise to ensure clients receive effective and appropriate treatment. Familiarity with MA DMH/BSAS regulations/guidelines is preferred.

have sufficient competence with computer applications to learn and apply specific clinical and business applications used by the organization, including Epic, PeopleSoft, UKG, Kronos, Workday, and HealthStream.

Intermittently requires collaboration with other program leadership within the Partial Hospital and Residential Services and the Division of Alcohol, Drugs, and Addiction.

Must possess basic digital literacy with a variety of electronic or online systems for communication, clinical, and administrative purposes. Must be proficient in providing care via virtual platforms.

Required to complete electronic medical records training and demonstrate 80% accuracy on proficiency tests within 30 days of hire.
